How does it work?

SaldeoSMART is an innovative solution for accounting offices and companies that automatically extracts data from expense and purchase documents and imports it in bulk into accounting software. It also recognizes item lines from purchase and sales invoices to generate JPK files and goods received note (GRN).

Just add your PDF invoice file to the app.

 

If you receive invoices in paper form, you don’t have to scan each one individually.
With an automatic document feeder (ADF) scanner, you can scan a batch of up to 80 documents at once — in under 2 minutes.
This includes various invoice formats, even multi-page ones.

There’s no need to send paper documents!
We recommend encouraging your clients to send documents themselves — directly via a web browser, through the mobile app, or as PDFs to a dedicated email address.
From there, the system will automatically import them into SaldeoSMART without any action on your part.
This way, you eliminate unnecessary, time-consuming tasks and move straight to verification.

 

 

SaldeoSMART will automatically split the file into individual invoices and extract the following data from each document:

  • supplier data (tax ID, name, address, bank account number, VIES verification)

  • full invoice number

  • invoice dates (issue date, delivery/service completion date, due date)

  • gross, net, and VAT amounts (broken down by tax rates)

  • currencies in which the invoice is issued, with automatic conversion based on the NBP exchange rate from the day prior to the delivery date

  • item lines from purchase and sales invoices, including quantity, VAT rate, and value

 

Document verification and categorization

 

Each document displays information about the percentage of recognized data.
Thanks to an easy-to-use document preview, you can quickly assign categories to documents according to how they will later be booked in the accounting software.
The system remembers how documents are posted, learns from it, and improves over time — suggesting the correct settings for similar documents in the future.

 

 

Import of documents into the accounting software

 

The document, along with its posting (accounting entry), is imported into the accounting software. The import process is fast and efficient, and the document can be easily previewed directly within the accounting system.

Once added to SaldeoSMART, a document is always available to the accountant, accounting office staff, and their clients — 24/7, from anywhere in the world.


Thanks to the automatic invoice reading system, documents are accurately described, making them quick and easy to find later.
