What are the KSeF implementation deadlines❓ The rollout of KSeF is divided into stages, giving companies time to prepare for the changes: From February 1, 2026 – mandatory for the largest enterprises with annual turnover above PLN 200 million (for 2024), From April 1, 2026 – mandatory for most other businesses, From January 1, 2027 – mandatory for the smallest taxpayers issuing only low-value invoices. This phased approach ensures every company has time to adapt, test the new system, and get ready before it becomes obligatory.
What exactly is KSeF and how does it work❓ KSeF is a government system through which all invoices in Poland will be processed. It ensures that issued documents follow a single, standardized format and are immediately delivered to the tax administration. In practice, this means fewer formalities, greater security, and smoother invoice circulation between companies and accounting offices.
Who will be required to use KSeF❓ All VAT taxpayers operating in Poland will be obliged to use KSeF. This means e-invoicing will become mandatory for business-to-business (B2B) sales, transactions with public institutions (B2G), and settlements with foreign contractors. It will not apply to invoices issued to individual consumers (B2C). In practice, every company — regardless of industry or size — will need to prepare for issuing invoices through KSeF.
What are the consequences of not using KSeF❓ Failing to issue an invoice in KSeF, or doing it incorrectly, can result in severe financial penalties. In the worst case, the tax office may impose a sanction equal to the full VAT amount on the invoice, or — if the invoice does not include VAT — up to around 20% of its value. That’s why it’s crucial to implement the system correctly and ensure compliance with the regulations.
